room hire terms and conditons

for a one-off or occasional short-term hire at: The Bridge Central

the hirer: the hirer on the submitted form must be over 18 and will be personally responsible for all payments and compliance with the terms of hire.

permission to use the hired space: if The Bridge Central has confirmed agreement, you may use the hired space for the purposes identified and no other purposes on the terms set out above and the terms of hire set out below this permission.

 

payment: The following payment methods are accepted:

  • credit/debit Card: this can be done via our payment portal when issued with an invoice.

  • bank payment: If you are unable to pay via credit/debit card, and can only pay via bank payment, we may be able to facilitate this on request. You must inform The Bridge Central once a bank payment.

  • please note: in all instances we encourage payment via our payment link on the invoice wherever possible.

 

if this is your first time booking with us:

  • full payment is required at point of booking

  • your booking is not secure until we receive this payment

  • this can be done via our payment portal when issued with an invoice once your booking has been confirmed

  • payment is expected within 24 hours of being issued with invoice and payment link

  • if we have not received payment by the date of your hire, you will not be permitted access to the space

if you have booked with us before:

  • we will issue you an invoice on the day of your booking to pay with credit/debit card via our payment portal

  • this invoice will need to be paid in full within 7 days of the date of issue (your hire date)

  • if you have any outstanding balances with us, you may not be able to book further hires of our spaces until these balances are settled.

cancellation by you

  • if you wish to cancel the booking in whole or in part (e.g. just catering etc.), you must give The Bridge Central written notice to that effect and there must be confirmation of acknowledgement by The Bridge Central.

  • if notice of cancellation is made 3 weeks or more prior to the date of the hire you will receive a full refund if payment has been made.

  • or you will not be issued an invoice and required to pay if it had been agreed payment would be received after your visit.

  • if notice of a cancellation is given less than three weeks prior to the date of hire, the full hire cost will be retained (inclusive of catering and equipment costs) by The Bridge Central.

  • please note: furthermore, you will still remain liable for any costs still outstanding, regardless of cancellation, and be issued an invoice or payment link in which to settle all payments.

cancellation by The Bridge Central

  • The Bridge Central may cancel the hiring if the hired space is required for any purpose in connection with a Parliamentary or local government election or if the hired space is rendered unusable or the hired space is required for a Bridge Central function or charitable purpose.

  • if the hiring is cancelled for any such reason as is mentioned, The Bridge Central will give you the maximum possible  notice and  refund any payment that has been made, but will  not otherwise  be liable to  you.

moving dates

  • we will only accept moving a date if you provide a replacement date at point of this request.

  • we do not issue credit notes, or postpone bookings indefinitely.

  • if you do not provide another date in which the booking can be moved to, we can issue a cancellation as per our terms and conditions or you can pursue with the booking.

  • please note we will only move a booking once, and if the request is made a second time or more, we will not proceed.

 

no-shows

  • if you do not arrive on the day of your hire and have not given us cancellation notice in writing, you will still be issued an invoice and full payment will be required.

 

on-site catering

  • if catering has been ordered, this should be finalised at least two weeks in advance of the hire date, including timings and dietary requirements. If notification of any changes or cancellations to catering is given less than two weeks in advance of the hire date, this may not be approved or processed for you.

  • if you are booking less than two weeks to the hire date, finalised details of catering must be provided at point of booking.

  • external catering is not permitted in the hired space, and a fee per head will be charged on discovery of external catering being delivered to and used in the hired space.  

use of the space

You will:

  • be responsible for the hired space and the behavior of all those connected with the booking, before, during and after the hire.

  • leave the hired space in a clean and tidy condition with all furniture or equipment returned to its original positions, failure to do so may result in future enquiries not being accepted.

  • take all precautions for the safety of all people entering/using the hired space during the period of hire.

  • upon arrival, ensure all attendees are aware of the Fire Evacuation Procedure and escape routes.

  • ensure all attendees are aware of optional PEEP plans at request.

  • comply with our environmental commitments by adhering to the correct waste and recycling methods provided.

  • prevent the hired space being used in such a way which is unlawful, you are required to be respectful of other users of the premises and in the vicinity.

  • prevent damage to any part of the hired space which includes but is not limited to any decorations, furniture or fixtures, and be liable for any damage to the hired space or building connected with the hire.

  • accept that in the event of any damage to the hired space or building connected with a hire, you will be liable to pay The Bridge Central for all costs of any repair, as well as any loss of income resulting from the damage.

  • not move or add to any electrical heating or lighting systems, or install or use any electrical gas or oil powered appliance at the hired space without the prior agreement of The Bridge Central.

  • prevent gambling, smoking, gaming, broadcasting, filming, public performance or the consumption of alcohol in the hired space unless the prior written approval of The Bridge Central has been obtained and all legal requirements are met in full.

  • obtain any necessary consents licenses or permissions for the use of the hired space (including Entertainments or PRS license for music) and comply with them and any statutory common law or other requirements of any competent authority and produce copies of any such consents licenses or permissions to The Bridge Central on demand.

  • observe any security requirements for the use of the hired space as The Bridge Central may specify.

  • indemnify The Bridge Central from and against all actions proceedings costs, claims and demands or other liability which may arise in any way whatsoever in connection with the hiring including (without limitation) any breach of the terms of this agreement.

  • not to impede The Bridge Central’s rights of possession, access and control of the hired space.

  • not to affix or display any signs, flags or advertisements outside the hired space without The Bridge Central’s consent.

breach by the you

  • If you fail to observe any of these conditions, the Bridge Central may cancel hires without notice, issue additional charges, prevent you from making future bookings or similar.

 general

  • The Bridge Central gives no warranty that the hired space is legally or physically fit or suitable for your purposes and you must ensure its suitability before booking.

  • The Bridge Central and all people authorised by it has the right to enter, use and occupy the hired space at all times.

  • the hiring does not grant any interest or estate in the hired space and is not intended to create the relationship of landlord and tenant.

  • you shall pay any VAT chargeable in respect of any supply made to you.

  • The Bridge Central shall not be liable for death, injury, damage to property or for any losses, claims, actions, proceedings, costs or expenses or other liability incurred by you or any person related to their hire (to the extent that exclusion of such liability is permitted by law).
